Team Seats, Roles, & Permissions

TEAMS FEATURE: This article is about the roles within a team. What are teams? If you have an Enterprise plan, your account set up may be different from what you see in this article.

Your seat type and role on a team controls what permissions you have within your account and how you can work together with your team.

Seat Types & Roles

The Primary Admin invites people to fill a seat (an account) and assigns the seat a role. Someone's seat type and role set the permissions within their account and what they can do on the team.

TIP! If you have an Enterprise team, you may have different seat types and additional roles.

Seat Types

There are 2 types of seats available on Team Advantage or Team Premier Plans:

  • Full access seats have full access survey permissions and can share surveys. Full access seats can be added one by one.
  • Contributor seats have limited survey permissions and focus on one section of shared surveys, like just the Analyze section. Contributor seats can be added in bundles of 2 at a time.

Role Types

Seat type determines the type of role someone can have on the team.

Primary AdminFull Access seat. The person who created the team. They have full survey permissions and full admin permissions, letting them manage billing for the team and manage seats.
Admin
(Enterprise only)
Full Access seat. They have full survey permissions and some admin permissions.
Full User
(previously named User)
Full Access seat. They have survey permissions to create, send, and analyze surveys, but have no admin permissions.
Analyst

Contributor seat. They have limited survey permissions—full access to analyze the results of surveys shared with them, can view and comment on the survey design, and view the collectors used to send the survey.

Viewing Seat Types and Roles

Primary Admins and Admins can view the seat type and role of everyone on the team from the Manage Users tab.

To go to the Manage Users tab:

  1. Click My Team from the main navigation.
  2. Click Manage Users.

 

Permissions for Full Access Seats

Here's what people in each role can do on your team:

Permissions for Contributor Seats

Contributor seats focus on one area of a survey—the survey design, collecting responses, or analyzing results. Team members need to share surveys with Analysts so they have surveys to analyze.

Here's what Analysts can do with the team's shared surveys:

* This table shows what an Analyst can do if given the default access levels. Survey owners can edit permissions to prevent Analysts from accessing the Collect Responses section.

TIP! If you're an Analyst and need additional permissions, contact your Primary Admin.

 

Changing Someone's Seat Type or Role

If you need to change someone's seat type or role, click on an option below to learn more.

Change seat type

To change someone's seat type:

  1. Click My Team from the main navigation.
  2. Select Manage Users.
  3. Locate the person whose seat type you want to update, click . and choose View User Details.
  4. Next to Seat Type, select Change.
  5. Select the seat type you want to assign—you can see how many Seats Available you currently have. If the seat type has 0 available, click Add Seats to purchase the seat type.
  6. Click Save.

An email notification is sent to the team member to let them know their new seat type and role.

Since Contributor seats can't own surveys, you may have to ask a Full Access seat to transfer or delete their surveys before you can change their seat type to a Contributor seat.
Change the Primary Admin

The Primary Admin can edit their account details (name, email address, etc.) to the new person's.

However, steps to complete this process depend on whether the new person is already on the team:

Change to someone who isn't on the team yet

To change the Primary Admin:

  1. Log into your Primary Admin account in SurveyMonkey.
  2. Change the email address on your account to the email address of the person you want to be the new Primary Admin.

Change to someone who is on the team

Changing the Primary Admin to someone else that's already part of your team is a multi-step process, so we'll start with an example.

EXAMPLE

In this example, Cindy and Deanna are already part of the same team. Cindy is the Primary Admin, and Deanna is a Full User. Cindy wants to make Deanna the new Primary Admin instead. Here's what needs to happen:

  • Deanna transfers all of her surveys to Cindy's Primary Admin account.
  • Cindy deletes Deanna's Full User account from the team.
  • Cindy changes the email address on her own account to Deanna's email address.
  • Deanna is now the Primary Admin and Cindy is no longer in the team.

If you're the current Primary Admin, follow these steps to switch the Primary Admin to someone else that's already on your team:

  1. Before you do anything, ask the other person to log in to their account and transfer their surveys to the current Primary Admin account.
  2. Log in to the Primary Admin account in SurveyMonkey.
  3. Click My Team from the main navigation.
  4. Click Manage Users.
  5. Find the person who you want to be the new Primary Admin.
  6. Delete their account from the team.
  7. Change the email address on your account to the email address of the new person. If the original Primary Admin still needs to be in the team, the new Primary Admin can invite them to fill the open seat at no additional cost.
If you change the email address on your account to someone else, you'll lose access to the account and all surveys and data within it. You won't be a part of the team anymore unless the new Primary Admin invites you to join the team.

 

Change a Full User to an Admin (Enterprise Only)

 

Enterprise only:You can only change a Full User to an Admin if you're the Primary Admin of an Enterprise team.

To change a Full User to an Admin:

  1. Select My Team from the main navigation.
  2. Select Manage Users.
  3. Locate the user you'd like to change to an Admin, click . and choose View User Details.
  4. Next to Role, click Change.
  5. In the Edit User Role window, choose Admin.
  6. Click Save. The new Admin will receive an email notification alerting them that you've made them an Admin.
