Programs connect related survey datasets to track performance and establish collaborative workspaces. To help you track data over time, recommended programs can suggest how often to send each survey, like quarterly.

Depending on your plan, you can set a cadence for Web Link collectors to automatically schedule when your survey opens and collects responses. You can create an independent schedule for each survey in your program.

When you schedule a survey from your program overview page, the system collects data through a series of related collectors called Rounds:

  • Each round has a unique Web Link.
  • Once scheduled, rounds open and close automatically based on the rules you set.
  • Because each round links to a specific time period, you can easily track your trends over time without extra effort.

To schedule surveys in your program:

  1. On the program overview page, scroll down to find the survey you want to schedule.
  2. Either:
    • Select the calendar icon from the Schedule column, or 
    • Select the three dots (...) next to the survey title and select Create schedule
  3. From the Create schedule panel, select a Frequency: Weekly, Monthly, Quarterly, Semi-annually, or Annually
  4. Select Rounds to set how many times your survey will be sent out.
    • Confirm the schedule is right and when to receive notifications 
  5. Choose a Start date and time, and select Next
  6. Select Send with, and select Link from the dropdown menu. 
  7. Check the box to:
    • Allow the survey to be taken multiple times on the same device.
    • Keep responses anonymous. 
  8. Select Save schedule.

Once saved, your survey status updates from To be scheduled to Open. The Schedule column shows your survey's frequency, like annually or weekly.

To manage your active collection rounds:

  • Share a round: Select the link icon next to that specific round to copy the link and share it with your respondents.
  • Track statuses: Your rounds always progress in chronological order. Each round shows a status of Upcoming, Open, or Closed, so you can see exactly what happens at a glance.
  • Get alerts: You'll get an email notification and an in-product message when a round opens. You'll also get a reminder notification 3 days before a round closes.
