Sending Reminder Emails from Salesforce

Essentials feature: Available on Essentials, Pro, and Ultimate plans.

Send reminder emails to remind people to take your survey. Reminders are only sent to respondents who haven’t completed your survey.

If you use a Salesforce Quick Launch Setup or send your survey using the Salesforce automation, you send up to 2 reminder emails to your recipients. Only recipients that haven't completed your survey will be sent a reminder email.

To schedule reminder emails:

  1. From your survey, select Distribute > Email > Salesforce Automation.
  2. At the top of the left panel, select the First reminder tab.
  3. Turn on the Enable toggle.
  4. Select the number of days after the initial email to send your reminder.
  5. Enter an Email subject for the first reminder.
  6. Select Save changes.
  7. To schedule a second reminder, go to the Second reminder tab and follow the same steps as above.

If needed, you can create objects and flows to send survey reminders from Salesforce. You’ll need to create custom mappings in GetFeedback and 2 flows in Salesforce that work together.

Set up the following before creating your email reminder workflow rules:

  1. Create the response object in Salesforce.
  2. Create a Sent Date field on the response object in Salesforce.
  3. Map the Date Completed attribute from GetFeedback to the Sent Date field you created in Salesforce.
  4. In Salesforce, create a checkbox field labeled Send Reminder Email. The checkbox field doesn’t need to be visible on the page layout, but the person setting up this workflow rule needs access to it.
  5. Create two email templates in Salesforce - one for the survey you'll send and one for the reminder email.

After you create these fields and email templates, you can set up your flows.

Create a flow to send your survey email when a certain condition is met.

  • Set the action to update the Send Reminder Email checkbox field.
  • Choose any time length. A typical length is between 3-7 days after sending the first survey.

Set up mappings to update the existing record when a response is submitted.

Once you set up your mappings, create a flow that sends your reminder email.

Before distributing your survey, test all workflows to make sure they're working as expected.
