Managing Brand Assets in the Library

The library is where Full Access seat team members can find and use shared assets to create surveys. These shared assets include images, documents, templates, themes, and questions.

Primary Admins and Admins can add or manage items in the team library and set default assets to be automatically added to new surveys that teammates create.

If your Enterprise team has early access to Divisions, you can also access division libraries that have additional survey controls.

Items in the Library

The library is a collection of shared images, documents, themes, templates, and questions that team members with Full Access seats can use when they creating surveys.

  • Images in the library let you provide members of your team with approved visual assets for their surveys—like your company's logo.
  • Themes help ensure that surveys sent from your team always reflect your organization's visual assets, colors, and style preferences.
  • Templates let you make custom surveys into standard templates that your team can use to create new surveys.
  • Documents in the library can provide team membmers with guidelines and resources for creating surveys for your organization.
  • Questions let your Enterprise team add company questions from a Custom Question Bank so you can ask questions in a consistent format.

Adding Items to the Library

Primary Admins and Admins can add new items to the library.

To add a new item to the library:

  1. Click My Team from the main navigation and select Library.
  2. Click + New Item (Add item).
  3. Choose the item you want to add:
    • For images and documents: Browse for the image or document on your computer, or import it via URL.
    • For custom themes: Select an existing custom theme from the list. If you don't have any custom themes, create a new one.
    • For templates: Select an existing survey from the list. If you don't have any surveys, create a new one. Every aspect of the survey design will be included in the template—all questions, the theme, logic, options, and images. If the survey you choose uses a custom theme that's not yet in your library, that theme will also be added to the library.
    • For questions (Enterprise only): Add a new question in the Design Survey section. Once the question is saved, hover over it and click Library to save it to the library.
  4. Add a Title (Name) and Description that will help team members understand how and when to use the item in their own surveys.

Using Items from the Library in Surveys

If you're a team member with a Full Access seat, click My Team from the main navigation and select Library to browse, preview, or download library items.

For instructions on how to use each type of item in the library, see the relevant section below.

Division Libraries and Survey Controls (Enterprise Only)

BETA FEATURE: Division libraries and additional survey controls are available to some Enterprise customers. If you’re in the beta for division libraries, you may see slight variations in your team library.

How It Works

When your team has Divisions—sub-groups within your team that can be managed independently of one another—each division can have its own division library with its own set of assets. A division library allows each division to have unique assets that are different from the assets in the team library and other divisions.

Division members can use the assets from the team library or their division library, which ensures all surveys meet either the team's or division’s unique branding needs.

The assets that team members can see, manage, and use depend on their role, if they belong to a division, and whether those assets have additional default settings or restrictions. Only the Primary Admin and Admin have full access to view, add, and manage the team library and all division libraries.

Primary Admins and Admins can:Division Admins can:Users can:
  • View, add, or manage assets in the team library (as described earlier in this article) or any division library
  • Click a division name to view the assets in that division library and set defaults for that division
  • Set team and division defaults
  • Allow Division Admins to override the asset settings for their division
  • Create surveys without any restrictions
    • View assets from the team library
    • View, add, or manage assets for the division libraries they manage
    • Click a division name to view the assets in that specific division library
    • Set defaults for the divisions they manage, if given permission by the Primary Admin
    • Create surveys using the assets they have permission to use from the team library or division libraries they manage
    • View the assets from the team library and division library, if they are assigned to a division
    • Create surveys using the assets they have permission to use from the team library or division library
    Division Libraries vs. Team Library

The team library is for everyone on the team. A division library is only available to the people assigned to that division. If someone is not assigned to a division, they only have access to the team library.

If an asset is Set as default for a Division, that setting overrides the team default.

    Navigating the Library

On the Library page, there's a Library column to show which library an asset belongs to.

The Filter button lets anyone narrow down their library by item type. Primary Admins, Admins, and Division Admins can also Filter to display items from specific libraries.

    Setting Default Assets

From the Library page, Primary Admins and Admins can click Set team defaults to set a default logo, theme, or template for all new surveys the team creates.

Primary Admins, Admins, and Division Admins can Set division defaults. On the Division Defaults page, use the dropdown to select the division they're setting defaults for. If an asset is Set as default for a Division, that setting overrides the team default.

After adding a default team or division asset, Primary Admins and Admins can set further restrictions. Assets can have:

    • No restrictions—team members can remove or replace the default asset
    • Restrictions to logos or themes in the library—team members can choose to replace the default asset with another asset in their library
    • Restriction to only the default asset—team members can only create surveys with the default asset

There's also a toggle to Allow Division Admins to override the asset settings for their division. If the Division Admin is given permission, they can add and manage assets for their division libraries. If they aren’t allowed, they can only view their division libraries.

    Creating Surveys

The assets that team members can use for creating new surveys depend on their role, if they belong to a division, and whether those assets have default settings or restrictions on them.

When creating surveys, Division Admins and Users can only see the assets they have permission to view and use. Primary Admins and Admins don’t have any restrictions as they create surveys so they can add new assets to libraries as they need.

If an asset is set as a default, it's automatically added when a new survey is created. Depending on the restrictions set, the team member may or may not have the ability to remove or update the asset.
