How to Set Up Time-based Automations

Within SurveyMonkey Apply you can enable your automations to be activated based on a specific date. With these types of Automations, you can send emails to your applicants, move the applications between stages, hide/show tasks, and much more based on a specific date in your site.

If you wish to fire an automation on a specific Date & Time that you select:

  1. Create an Automation
  2. Set the Source of the Activation to Time-based Event
  3. Select the Specific Date & Time as the Event
  4. Enter the Date that you wish for the automation to fire
  5. Enter the Time that you wish for the automation to fire
  6. Specify the target in which the actions must be carried against. See Understanding Targets
  7. Optional: Set additional conditions on the automation to limit who the automation is activated for. For example, Application is in Stage. 
  8. Set the action that should occur based on the Activation and Conditions set.

NOTE: Times will be based on your sites Timezone

If you wish to fire an automation on the open or close date of a Program:

  1. Create an Automation
  2. Set the Source of the Activation to Time-based Event
  3. Select either Program open Date & Time or Program close Date & Time as the Event, depending on when the automation should be fired.
  4. Specify the target in which the actions must be carried against. See Understanding Targets
  5. Optional: Set additional conditions on the automation to limit who the automation is activated for. For example, Application is in Stage. 
  6. Set the action that should occur based on the Activation and Conditions set.

If you wish to fire an automation on the open or close date of a Stage:

  1. Create an Automation
  2. Set the Source of the Activation to Time-based Event
  3. Select either Stage open Date & Time or Stage close Date & Time as the Event, depending on when the automation should be fired.
  4. Select the Stage you wish to reference the Date & Times for.
  5. Specify the target in which the actions must be carried against. See Understanding Targets
  6. Optional: Set additional conditions on the automation to limit who the automation is activated for.
  7. Set the action that should occur based on the Activation and Conditions set.

If you wish to fire an automation on a Task Deadline:

  1. Create an Automation
  2. Set the Source of the Activation to Time-based Event
  3. Select Task Deadline as the Event
  4. Select the Task you wish to reference the Date & Times for.
    NOTE: If you wish to set a deadline based on a Review task you will need to select Stage Open and Close Date & Time Events (link)
  5. Specify the target in which the actions must be carried against. See Understanding Targets
  6. Optional: Set additional conditions on the automation to limit who the automation is activated for.
  7. Set the action that should occur based on the Activation and Conditions set.

ReviewsThis target will fire for applications that have a completed review.
If you have conditions on the automation the system will then check to ensure the application also meets your conditions.
RecommendationsThis target will fire for applications that have a completed recommendation.
If you have conditions on the automation the system will then check to ensure the application also meets your conditions.
