How to Set Up a Holding Stage

This article will walk you through how to successfully set up a holding stage in your site. A holding stage can be used for stages of the application process that do not have any tasks for applicants to complete. Common examples are "Awarded/ Accepted Applications" or "Rejected/ Declined Applications".

In order to create a new Holding stage:

  1. Go to your Workflow
  2. Click on the Plus + sign below your list of current stages
  3. Select Holding
  4. Enter a name for your stage.

To access the Settings section of your stage:

  1. Go to your Workflow
  2. Click on the Name of the stage to access the stage configurations
  3. Click on Settings

The Settings section of your stage allows you to set up basic details about the stage:

SettingDescription
TitleEdit the Title of your Stage. This is an alternative to the inline process.
InstructionsProvide instructions for applicants that enter this stage. A common example is an in-site notification explaining that the applicant has been awarded for the program.
Open Date/TimeAdd an Open Date/Time to your Holding Stage for organization purposes.
Close Date/TimeAdd a Close Date/Time to your Holding Stage for organization purposes.
Grace PeriodAdd a Grace Period to your Holding Stage for organization purposes.
Set StatusDisplay a status to applicants when their application enters this stage.

As no tasks exist within this stage, the Holding Stage is used for organization purposes. For example, if you require applications to be moved in or out of the stage on a certain date, you can monitor this in the Program Dashboard. This helps keep track of your application process.

Stage automations allow you to create an automatic action within the site. Common examples are sending emails, moving submissions to the next stage, or adding labels to the application.

When the stage is created it will be automatically populated with a few triggers to get you started:

  • When application enter this stage -> Set status
  • When application enter this stage -> Set labels
  • When application enter this stage -> Email Applicant

This section contains the Name of the Task, the current status (Active/Inactive), and Actions you can take on the automation.

To Edit the Automation:

  1. Click on the Edit Icon beside the Automation you wish to Edit
  2. Refer to How to Create a Stage Automation for more detailed instructions.

For More Actions:

  1. Hover your cursor over the Automation you wish to edit
  2. Click on the More Options icon beside the Automation
  3. A dropdown will appear with a list of actions you can take

The actions you can take are:

  • Activate
  • Deactivate
  • Duplicate
  • Delete
