Fill out a Form Task

The "Fill out a Form" task allows a range of information to be gathered from your applicants using a variety of question types. A form can be as simple as collecting contact details, or as comprehensive as a data collection form.

To create a Form Task in your site:

  1. Go to your Workflow
  2. Click on the Name of the stage to access the stage configurations
  3. Click on the Tasks tab
  4. Click on the Plus + icon
  5. Select Fill out a Form
  6. Give the Task a Name. This is the name that will be visible to your applicants when they apply to your program.
  7. Select whether you wish to Use a Form Template OR Create a New Form.

If you choose to use a form template, you will be presented with a list of other forms that have been created in your site. This will allow you to create this new form using the same questions as another form without affecting the questions or data in the original form. This can be useful if you have similar forms and wish to save time rather than starting from a blank form.

In order to set or edit the task settings:

  1. Hover your cursor over the task and select the Edit icon
  2. Complete the settings below to configure your task
SettingDescription
TitleThe Title field will display the one set during the initial creating of the task. However, you can also choose to edit it here.
FormClick on Edit Form to access the Form Builder and edit the questions within the form.
If the form does not contain any questions it will read "Form is currently blank."
You can also click on the More Options icon to:
- Preview the form
- Download a blank version of the form
InstructionsThis description is shown to applicants who complete this task.
Specifying instructions is optional. When checked, the Visual Editor is displayed which allows the content to be formatted accordingly. This description will be visible to your applicants within the application underneath the task.
OptionalMake your task Optional.
By default, your task will be required to complete. If you wish to allow your applicants to submit without completing the task you can set the task to be optional.
DeadlineSet a deadline on your task.
Decide if you wish to prevent applicants from completing the task after a certain date.
Prevent EditingEnabling this setting will mean that applicants will not be able to edit the task once they have fully completed it.
PrerequisitesThe tasks you set as Prerequisites will need to be completed in the site before this task becomes available.
A common example of this is if you wish to force your applicants to complete a Basic Information form about themselves before any other task becomes available.
TIP! Select "Hide task until prerequisites are met" if you wish to make it clear to your applicants that they need to complete the prerequisite first.
Set who can edit this taskDetermine who this task is to be edited by:
- Applicants & Collaborators
- Applicants Only
- Collaborators Only
Applicants refer to the owner/ creator of the application and Collaborators refers to any additional users added as members to the application.
If set to Applicant Only or Collaborator Only, the task will still be visible to the other user type, however, it will not be editable.
