Sharing Surveys with Others

How Sharing Works

You can share surveys with people on or outside your team if you have an Enterprise account or a Full Access seat on a team. You can see which plan you have in My Account.

Your plan type determines:

Setting Survey Permissions

When a survey is shared, people are granted permissions to each section of the survey.

A team member's seat type determines the default access level assigned to them. But survey owners can edit someone's survey permissions or stop sharing at anytime.

When a survey is shared with people outside your team, the most access they can have is View Only.

Are My Surveys Private?

Your surveys are private to your account unless:

  • You choose to share them with others
  • You’re part of a beta experience where your surveys have been set to automatically share with your team.

At any time, you can check whether your surveys are shared along with who they're shared with.

 

Ways to Share Surveys

Depending on your plan, there are different ways survey owners and teammates can share surveys—expand the sections below to learn more.

Share a single survey

To share a single survey:

  1. Go to My Surveys.
  2. Click the ¥ share icon next to the survey you want to share.
  3. Choose who you want to share the survey with. You can:
    • Select specific team members or Workgroups from the list
    • Enter email addresses of people outside of your team
    • Check Share with my entire team
  4. Click Continue.
  5. (Optional) Click the p Edit permissions icon to update the default access levels for each section of the survey.
  6. Choose whether to Allow people on your team to reshare with other people.
  7. Click Share.
Share multiple surveys

To share one or more surveys with people on your team:

  1. Go to My Surveys.
  2. Check the boxes next to the surveys you want to share. You can share up to 500 surveys at a time.
  3. From the menu that appears at the bottom of the page, click Share.
  4. Select specific team members or Workgroups from the list or check Share with my entire team.
  5. Click Continue.
  6. Click the p Edit permissions icon to update the default access levels for each section of the survey.
  7. Click Share.

The permissions you select for multiple surveys will override any permissions you set for surveys previously shared.

You can only share surveys one at a time with people outside of your team.

Share surveys with your entire team

 

TEAMS FEATURE: Sharing with your entire team is available to Full Access seats on Team Advantage and Team Premier plans.

The checkbox to Share this survey with my team lets you share a survey with your entire team, including new people who join your team in the future. This option is available when you click the ¥ Share icon from My Surveys or create a survey from scratch.

If you're part of the Team Sharing beta experience, you may not be able to edit these settings.
Resharing a survey that's shared with you

 

TEAMS FEATURE: Resharing is available on Team Advantage and Team Premier plans, and only when sharing a single survey.

If a survey owner allows resharing, any team member can share a survey that was previously shared with them.

Resharing stays active when a survey is transferred. Resharing doesn't apply to copied surveys.

Resharing for survey owners

To allow resharing, select Allow people on your team to reshare with other people when you're sharing a single survey.

The resharing option is specific to each survey, so you can choose which surveys you want to allow others to reshare, but it isn't possible to restrict the people who can reshare.

If you uncheck the Resharing option, it restricts future resharing of that survey. Any surveys reshared before you turned off resharing remain shared.

Resharing for team members

You can reshare a survey and give the person the same permissions you were granted, or the highest level of access based on their seat type's permissions.

We send an email notification to anyone you share a survey with. To access the survey, they can click Open Survey to log in or sign up for an account. The account email address needs to match the one the survey was shared with.

Shared surveys remain available in your account until you remove it, it's deleted by the survey owner, or the survey owner either removes you from accessing the survey or transfers the survey to someone outside of the team.

 

Viewing Shared Surveys & Permissions

You can see all surveys in your account from My Surveys. We automatically create folders for shared surveys so you can easily find them.

If you have shared surveys, you can click ¥ Shared by you or ¥ Shared with you to see who else the survey is shared with and what permissions each person has.

People outside of the team don't have visibility into who else a survey is shared with.

 

Managing Shared Surveys & Permissions

Editing Sharing Permissions

When a survey is shared, survey owners can edit permissions to change the level of access a person has to each section of the survey or stop sharing the survey completely.

Edit permissions

To edit someone's survey permissions:

  1. Go to My Surveys.
  2. Click ¥ Shared by you next to the survey title.
  3. Click the p Edit permissions icon next to the person whose permissions you want to edit.
  4. Choose their new access levels for each section of the survey.
  5. Click Done.

If you're part of the Team Sharing beta experience, you may not be able to edit these settings.

Want to update the sharing permissions for multiple surveys at once? Share multiple surveys and select access levels for all surveys at once. These permissions will override any previous share permissions.
Stop sharing surveys

Survey owners can remove individuals or their entire team from accessing a survey.

To remove people from accessing a survey:

  1. Go to My Surveys.
  2. Click ¥ Shared by you next to the survey title.
  3. Click the # Remove from sharing icon next to the individual you want to remove or uncheck Share with my entire team.
  4. Click Done.

If you're part of the Team Sharing beta experience, you may not be able to edit these settings.

Managing Team Sharing Settings

BETA FEATURE: Team sharing settings for sharing with your entire team are available to Full Access seats on some Team Advantage and Team Premier plans.

All team surveys are shared with the entire team automatically, by default.

Primary Admins can choose a team-wide setting that determines whether survey owners can choose their own account-wide setting that controls how their surveys are shared with the team.

These settings are applied any time a team member creates a new survey or ¥ shares a survey from the My Surveys page.

Currently, team sharing settings aren't applied when you copy a survey or send a copy of a survey from the Dashboard or My Surveys pages.

Setting team-wide share settings (for Primary Admins)

To view and edit the team-wide sharing setting:

  1. Go to the Team Summary tab under My Team.
  2. Click Edit in the Team Sharing section.
  3. Select Full Access (required), Full Access, View Only, or Individual user preferences.
  4. Click Save.

These changes only affect newly created surveys—they don’t override the sharing settings on existing surveys. A team member's seat type may also limit their level of access to a specific section of a survey.

Setting account-wide share settings (for survey owners)

Your ability to change the Team Sharing setting for your surveys depends on what the Primary Admin chose as the team-wide setting. All surveys are shared with the entire team automatically, by default, but some survey owners may be able to choose different share settings for their own surveys.

To view or edit how your own surveys are shared with the team:

  1. Go to My Account from your username dropdown in the upper-right corner.
  2. Scroll to General Preferences.
  3. Next to Team Sharing, click Edit.
    If you don't see the option to edit, you can’t override your Primary Admin's team sharing setting.
  4. Choose:
    • Full Access if you want to share all your surveys and set Full Access permissions.
    • View Only if you want to share all your surveys and set View Only permissions.
    • No Access if you don’t want your surveys shared automatically with your team. You can still share a single or multiple surveys at a time.
  5. Click Save.

These changes only affect newly created surveys—they don’t override the sharing settings on existing surveys. Survey owners may also want to share surveys they've already created with team members.

A team member's seat type may also limit their level of access to a specific section of a survey.

What Survey Owners Can Do

Requesting Survey Access

Looking for team surveys?

After you join a team, you may already have shared surveys in your account. If you don't, ask the Primary Admin and teammates to share surveys so you can access your team's existing surveys.

Want more access to a shared survey?

People on the same team can request more access to a specific section of a survey that's shared with them.

To request more access:

  1. Go to My Surveys and open the survey you want a higher level of access to.
  2. From the Design Survey, Collect Responses, or Analyze Results section click the dropdown that shows your current access level in the upper-right corner (for example, No Access or View Only). You'll see a list of each section of the survey and your current level of access.
  3. Next to the section you want more access to, click Request Access.

The survey owner will get an email about the request and can choose to change your access levels. There's no way to request a specific level of access—it's up to the survey owner to decide what level of access they give you.

Your seat type may also limit the level of access you can have to a specific section of a survey.

 

You can share surveys with people on or outside your team if you have an Enterprise account or a Full Access seat on a team. Your plan type determines the ways you can share surveys, if people can reshare your surveys, and if you have the option to automatically share surveys with your entire team or workgroup.
