How to Manage Application Statuses

Application Statuses allow you to add a custom status to your applications based on the round the application is in. This article will walk through what an application status is and how it can be used within your SurveyMonkey Apply site.

Statuses are most useful for informing applicants of their progress within the site and are completely custom built. For example, if the applicant has moved to a review stage, you can create a status called "In Review" that will be applied, and made visible to every application in that stage.

If an application has a status applied to it then the status will be visible to the Applicant. If you do not wish for information to be visible to the applicant, consider using Labels instead.

Applications statuses are created within each stage of your program's workflow.

To create a new status:

  1. Go to the Workflow.
  2. Click on the Stage you wish to add the status to. 
  3. Go to the Settings Tab.
  4. Under the Application Status section, click Create Status.
  5. Enter the name of the status, click OK.

To rename an application status within a program

  1. Go to the Workflow.
  2. Click on the Stage the status was created in.
  3. Go to the Settings Tab.
  4. Hover your cursor over the applicable Status.
  5. Click the More Options icon.
  6. Click Rename.
  7. Enter the new name of the status.
  8. Click OK.

This change will only be cosmetic and will not affect any of the applications that the status is applied to.

To delete an application status within a program:

  1. Go to the Workflow.
  2. Click on the stage the status was created in.
  3. Go to the Settings Tab.
  4. Hover your cursor over the applicable status.
  5. Click the More Options icon.
  6. Click Delete.
  7. You will be asked to confirm if you would like to delete the status.
  8. Optional: You can choose to automatically apply a different status that has been created within the stage upon deleting the current status.
  9. Click YES when ready to delete the status.

Deleting a status will not have any effect on your applications. It will simply remove the status from all applications it was previously applied to.

Below is a list of potential use cases for statuses within the various stage types.

Additional Information RequiredIf you have follow-up stages create a status for "Additional Info Needed" to flag to the applicant that they need to enter their application and complete additional tasks.
In ReviewCreate a status to inform the applicant their application is under review by one of the reviewers.
Final ReviewCreate a status to inform the applicant that their application has passed the initial review stage and proceeded to the Final Review Stage.
Pending Final DecisionIn the case where you have a holding stage to keep your applications while you discuss the final decision you wish to give. You can use this status to inform the applicant that they are being considered for the program but no decision has been made.
